Case Study: Setting the Standard in Site Safety

The University of Aberdeen has been a user of Reset services since August 2018.

Its history dates back to 1495 and is the fifth oldest university in the UK. Back then it opened its doors to a small number of students and 36 staff, but today it attracts 14,000 students, representing 130 nationalities and has over 3,600 staff. 2023 will see the university celebrate 528 years of its rich and diverse achievements of the past and present.

Its estate is wide and varied, and of all ages, blending old with new from the historic 16th century buildings of Kings College and Marischal College at the heart of the campus to the modern Rowett Institute of Nutrition and Health and the Sir Duncan Rice Library which was built in 2011.

The university has consistently raised the bar where contractor compliance and health and safety are concerned and, at the time, were looking for a one stop solution to help them manage and monitor the competencies of their contractors both at a company and individual level, as well as providing full visibility and a proven audit trail of who was and who had been on site – the rest they say is history.

Nearly five years on, Reset continues to be a valuable resource for managing and monitoring its contractors, assisting them in fulfilling their duty in law and has contributed to cultivating a safer working environment for contractors, staff, students, and visitors.

In May 2022, Reset introduced its latest development, a site induction module that manages, monitors, and delivers site inductions, automatically recording them on the individual’s profile and where necessary, implement at ‘stop at the gate’ using Reset Access.

The module was originally developed with help from the University of Leicester, another client site, but has since been rolled out and implemented by many other key clients. Amongst these was the University of Aberdeen. 

David Malcolm, Health, Safety and Asbestos Manager at the University of Aberdeen, said: “We have been using the Reset Site Induction Module for just over eight months now and have seen some noticeable benefits and efficiencies as a result. First of all, it has freed up a considerable amount of time for estates managers and supervisors when inducting new contractors. To date we have inducted 256 individual contractors which equates to around 256 hours our staff did not need to spend inducting contractors. The module also allows the contractor to complete our Contractor H&S Induction prior to arriving on site.”

“A link is provided to the hosted induction information and sent to both the contracting company and the individual which again saves time on the day. Once a contractor has completed an induction or refresher, their Reset cardholder profile is automatically updated and provides a 100% accurate and reliable record."

David continues, “On any given day, there could be multiple contractors on campus, however we are reassured that should any contractor arrive on our sites and require a site induction or refresher will be immediately stopped when logging in at the Reset Access terminal.

“This was an area that required tightening up and now that the module is in operation, we are confident that every contractor has been inducted on our Contractor H&S Handbook and aware of the safety information and expected standards before carrying out any maintenance, building or repair works.

“Another clever feature is that the system can generate a push notification for contractors to take a refresher if they either haven’t taken an induction in the last 12 months, haven’t logged in on site in the last 90 days or if there has been a critical change to our Contractor H&S Induction.

“In creating the site induction module, Reset has taken what once was a very manual, time- consuming process and put together an intuitive, ground- breaking tool that has changed the way we deliver site inductions for the better.”
